Zenbyte may collect and process information necessary to provide training and placement assistance services, including:

• Full name
• Email address
• Phone number
• Resume/CV
• Educational qualifications
• Technical skills
• Professional experience
• Job preferences
• Interview schedules
• Companies attended for interviews
• Interview status and outcomes
• Selection and placement status
• Training and placement-related communications
• Information voluntarily provided by the candidate

To improve the accuracy and efficiency of our placement assistance services, the App uses the Gmail API via Google Apps Script to access limited Gmail metadata, after the candidate has explicitly authorized the required access through Google's OAuth consent screen.

The information accessed is limited to:

• Email sender information (From)
• Email subject line
• Email date/time received
• Other limited email metadata necessary for the placement-tracking functionality

The App is designed to identify emails that may relate to recruitment and employment activities, such as interview invitations, selection or offer communications, document/background-verification requests, and joining/onboarding communications.

Gmail metadata is accessed solely to support Zenbyte's training and placement assistance services.

The information may be used to:

• Track interview opportunities and outcomes
• Identify potential selection or offer communications
• Identify document-verification or background-verification requests
• Track joining or onboarding communications
• Update placement status and maintain accurate placement records
• Follow up with candidates regarding important placement activities
• Avoid duplicate or unnecessary placement follow-up
• Evaluate and improve the effectiveness of our placement assistance services

Zenbyte follows the principle of data minimization. The App is designed to access only the Gmail metadata necessary for the placement-tracking functionality described above.

Zenbyte does not use Gmail data to:

• Display advertisements
• Create advertising profiles
• Sell personal information
• Provide marketing databases to third parties
• Monitor candidates for unrelated personal activities
• Train, fine-tune, or improve any generalized AI/ML model
• Determine unrelated personal characteristics

Zenbyte uses automated rules and keyword matching against email subject lines to identify potentially relevant recruitment communications.

Examples of keywords or indicators used include:

Automated detection is used only as an indicator for placement tracking. A detected email does not automatically constitute confirmation that a candidate has been selected, hired, or placed. Where necessary, Zenbyte may contact the candidate directly to verify actual status.

Because automated detection relies on limited metadata, the system may occasionally misidentify or fail to identify a relevant email. Candidates should continue to communicate important placement updates directly to Zenbyte.

Gmail access is provided exclusively through Google's own OAuth authorization mechanism. Zenbyte never requests, receives, or stores a candidate's Google/Gmail password.

Candidates are shown Google's own consent screen, listing the exact permissions requested, before granting access, and should review it before authorizing.

The App does not forward, export, or bulk-download a candidate's personal email communications.

Where the App generates an internal placement record based on detected Gmail metadata, that record contains only the sender, subject line, date/time received, candidate identifier, and detected placement category — never the email body or attachments.

Zenbyte stores limited placement-related information derived from Gmail metadata, including:

• Candidate identifier (email address)
• Sender information
• Email subject
• Email date/time received
• Detected placement category
• Interview, selection, and offer status
• Other placement-tracking information necessary for the service

This information is stored within Zenbyte's authorized placement-management infrastructure, including Google Sheets and Google Apps Script Properties under Zenbyte's control, for legitimate placement-service purposes only.

Zenbyte does not store complete personal email communications.

Zenbyte retains Gmail-derived placement records for the duration of the candidate's active placement engagement with Zenbyte, and for up to twelve (12) months after the engagement ends, to support follow-up, dispute resolution, and legal/contractual recordkeeping.

Candidates may request earlier deletion at any time.

Zenbyte does not sell, rent, or trade candidate personal information or Gmail metadata.

Zenbyte does not share Gmail metadata with advertisers, marketing databases, data brokers, or any third party for unrelated commercial purposes.

Information may be accessed by authorized Zenbyte employees or service providers only where reasonably necessary to provide, maintain, secure, or operate our placement services, subject to confidentiality and security obligations.

Zenbyte's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Zenbyte uses Google user data only for the purposes described in this Privacy Policy and for providing the functionality for which the candidate authorized access.

Zenbyte does not transfer Google user data to third parties for advertising or unrelated purposes, and does not allow humans to read Gmail data except as necessary for security purposes, to comply with applicable law, or with the candidate's affirmative consent.

Zenbyte takes reasonable technical and organizational measures to protect personal information and Gmail metadata.

• Periodic review of access permissions

Access to candidate information, including Gmail-derived metadata, is restricted to authorized personnel who require it to perform legitimate placement-assistance, administrative, technical, or security functions, and who are bound to confidentiality.

Subject to applicable law, candidates may contact Zenbyte to request:

• Access to their personal data
• Correction of their personal data
• Deletion of their personal data
• Withdrawal of Gmail authorization
• Concerns about Gmail metadata use
• Privacy or security concerns

Zenbyte may request reasonable information to verify the identity of the person making a request, and will respond within a reasonable time.

Candidates may revoke the App's access to their Google Account at any time through Google Account security settings.

Once revoked, Zenbyte can no longer access new Gmail metadata for that candidate.

Revoking access does not by itself delete previously stored placement records; candidates may separately request deletion under Section 14.

Zenbyte uses trusted third-party technology providers, including Google Workspace/Apps Script infrastructure, for hosting and operating the placement platform.

Where third parties process candidate information on Zenbyte's behalf, we require appropriate confidentiality, security, and data-protection commitments.

Zenbyte's services are intended for individuals legally eligible to participate in employment and professional placement activities.

Zenbyte does not knowingly collect Gmail information from children. If we become aware information has been collected in violation of this policy, we will take appropriate steps to address it.

Zenbyte may update this Privacy Policy to reflect changes in our services, technology, data practices, security practices, applicable law, or Google API requirements.

Updates will be published on this page with a revised "Last Updated" date. Where required by law, Zenbyte will provide additional notice or obtain additional consent for material changes.
